Point-of-sale or POS systems have become increasingly popular in a number of industries, allowing restaurants to speed up order taking and streamline inventory while similar systems assist retail outlets with following shopping trends. This popularity has led to the creation of a number of accessories and customizations that are available for POS systems. Many of these accessories require their own supplies which need to be purchased regularly. For some small businesses, this can become a high cost to bear. In most cases, however, the benefits of installing a POS system into a bar or restaurant far outweigh the cost of POS supplies.
If cuts and compromises have to be made, it is important to know which POS components and supplies are the most essential to keeping a business or restaurant running smoothly. Here are some of the more commonly-used POS supplies, giving you an idea of what you should look for if you want to get just the essentials and still be able to get the most out of the POS system you choose to integrate into your business.
Thermal Printer Paper
The most essential supply to go with your POS system is thermal printer paper. Different systems use different types of printers, but most modern POS systems will have at least one thermal printer associated with it. Ink and ribbon printers will use rolls of standard non-treated paper, often in rolls that are 3â wide. Other printers may use a carbonless impact paper in rolls of the same side, reducing the need for ink or ribbon changes. Thermal paper rolls are used by thermal printers and have a special coating on them that reacts to heat; these canât be passed through a heated restaurant food window, however, due to the heat of the windowâs lamps causing the entire treated surface to darken. Match the paper that you buy to the type of printer that you have.
Employee ID Cards
A useful POS supply that sees wide use is an employee identification card, often a blank card with a magnetic stripe on one side. These cards are programmed with an employeeâs ID number and password encoded on the magnetic stripe, and can be reset easily by a manager when new employees are hired. These cards make clocking in or clocking out of a POS system that has an integrated time clock very easy, since all that the employee has to do is swipe the card through the POS card reader when they are on the login screen. The cards also allow for easy manager overrides and make it much easier for cashiers to log in to their register so as to keep track of how much money each cashier handles regardless of which cash register they use. Employee ID cards can be reused multiple times as employees leave and new employees are hired; itâs important that you make sure you have extras whenever you are ready to hire, however.
Toner and Ink
Ink and toner are essential supplies for almost any business, and POS systems have a number of uses for them. Receipt and order printers may make use of ink cartridges, ink ribbons, and toner cartridges, meaning that extras will need to be kept on hand in case the printers begin to run low. Many POS systems also integrate payroll and inventory functions so you will need to make sure that you have enough ink in your main office computer for printing out tax forms, payroll documents, and inventory sheets so that you can double check the inventory that you should have in your restaurant or store.
Cleaning Cards
With so many printers and card readers integrated into a POS system it is important that you keep them in good working condition. Specialized cleaning cards are available that are designed specifically for different types of printers, card readers, and bill acceptors, letting you clean print heads, magnetic readers, and scanner screens with ease. The cleaning components come pre-saturated or pre-filled with cleaning solutions that have been specifically designed for the sensitive components, and the cards themselves are made so that they will not leave any unwanted residue behind. It is good to keep extra cleaning cards and similar supplies on hand for all of your printers and card readers since a regular cleaning and maintenance schedule can reduce the chances of your POS equipment failing by up to 80%.
Fraud and Counterfeit Detection
Though not an integrated part of a POS system, a closely-related supply that is essential to your businessâ success is fraud and counterfeit detection equipment. Many POS suppliers sell counterfeit detection kits and markers, giving you tools to easily tell whether bills are legitimate or counterfeit. Magnifiers, counterfeit detection manuals, and even bill templates so that your employees will know exactly what to look for are also available.
